Measure the whole movement
Compare loaded miles with repositioning, pickup timing, delivery timing, expected dwell, fuel, tolls, and the market where the truck will finish. Include equipment condition in the calculation instead of treating it as an operational detail. The strongest choice is the one that supports the truck's full schedule, not necessarily the load with the largest posted gross rate.
Confirm details before commitment
Verify the commodity, weight, equipment requirements, addresses, appointment type, contact process, and written rate terms. Pay particular attention to return requirements. If an important instruction is unclear, obtain written clarification before dispatch so the driver, carrier, broker, and facility are working from the same expectations.
Give the driver a clean plan
The driver should receive one concise set of confirmed instructions covering pickup, delivery, reference numbers, equipment expectations, communication checkpoints, and exception contacts. Avoid forwarding a chain of conflicting messages. A clean plan reduces preventable calls while leaving the driver responsible for safe and legal operation.
Document exceptions while they happen
Delays and changes are easier to resolve when times, names, messages, and supporting documents are captured during the event. Record arrival and departure, keep relevant photos or receipts, and notify the correct contact promptly. Documentation does not guarantee payment, but it creates a clearer basis for an accessorial or service discussion.
Review the result after delivery
Compare the original plan with the completed trip. Note total miles, revenue, time, unexpected expense, document quality, and the next reload. That short review turns one load into better operating knowledge. Repeated results should influence lane preferences, broker notes, pricing assumptions, and the questions asked before the next booking.
